How we handle the small amount of personal information we collect when you visit this site or get in touch with us. Written in plain English, in line with the UK GDPR and the Data Protection Act 2018.

1. Who we are

In this notice, “we”, “us” and “Rukn Group” refer to the property practice operating at this website. We are the data controller for any personal information you provide to us through this site or by direct correspondence.

2. What we collect

We only collect data we need to do our work. Specifically:

  • Information you give us through the contact form: your name, email address, telephone number (if provided), site postcode (if provided), and the content of your message.
  • Information from any direct correspondence: if you email or call us, the contents of that exchange.
  • Basic technical and analytics data: when you visit the site, our hosting provider and our analytics provider may collect anonymised information about your browser, device, country and the pages you view. We do not use this to identify you personally.

We do not collect special-category data (such as health, ethnicity, religious or political views) and we do not knowingly collect data from anyone under the age of 18.

3. Why we use it

We use your information for the following purposes:

  • To respond to enquiries you send us through the site.
  • To carry out our business — site appraisals, option agreement conversations, planning and design work, project delivery — where you have engaged us to do so.

  • Professional advisers (such as solicitors, planning consultants, accountants) where their involvement is needed for the work you have engaged us to do.
  • Public bodies (such as a local planning authority) where required by law or as part of a planning application made on your behalf.

5. How long we keep it

We keep enquiry information for as long as it remains relevant to a live or potential engagement, then for a reasonable period afterwards (typically up to seven years to meet our accounting and tax obligations). After that, it is deleted or anonymised.

6. Cookies and analytics

This site uses a small set of strictly necessary cookies for normal operation, plus minimal first-party analytics (privacy-friendly, no advertising trackers). No cookies are set that identify you personally.

7. Your rights

Under the UK GDPR you have the right to ask us to confirm what personal data we hold about you, to correct it, to delete it (where there is no good reason for us to keep it), to restrict its use, and to object to our use of it. You can also ask us for a copy of your data in a portable format.
